How to roll out a school ERP without the chaos

Switching systems mid-year sounds scary. It doesn't have to be. A practical, low-stress plan for getting your whole school onto one platform.

The biggest reason schools stay on tools they’ve outgrown isn’t cost — it’s fear of the switch. “We can’t change systems in the middle of a term.” The good news: a well-planned rollout is calmer than the daily friction of the old way. Here’s a plan that works.

Week 1 — Set up the foundation

Start with the structure, not the students. Configure your classes, sections, academic year, subjects and grade scales. Set your branding — logo and colours that flow onto ID cards and certificates. Create staff logins and assign roles. This is the skeleton everything else hangs on.

Week 1–2 — Import your people

Bring in students and staff from a spreadsheet. You don’t need every field perfect on day one — names, admission numbers, classes and guardians are enough to start. On Growth and Enterprise plans, our team runs the migration with you, including historical fee and mark data.

Week 2 — Go live with one module first

Don’t switch everything at once. Pick the module with the clearest daily payoff — usually attendance or fees — and run it live while everything else stays as-is. A single early win builds staff confidence fast.

Week 3 — Turn on the parent portal

Once staff are comfortable, invite parents. Suddenly they can see attendance, marks and fees themselves — and the office phone goes quiet. This is the moment schools feel the difference most.

Week 4 — Layer in the rest

With the core running, switch on exams, communication, transport, library and payroll at a comfortable pace. Because it’s all one system, each new module just works with the data you’ve already entered.

A few tips that make it painless

  • Nominate a champion. One tech-comfortable staff member who owns the rollout beats a committee.
  • Train in short sessions. Fifteen focused minutes per module beats a two-hour marathon.
  • Keep the old system read-only for a month. A safety net removes the fear.
